Administrative Specialist in Warsaw

  • We are looking for a part-time Administrative Specialist in Warsaw to ensure smooth operations and a welcoming environment for our team. You will coordinate office spaces, manage processes, and support colleagues in their day-to-day needs.
  • đź•’ Working hours: 10:00–14:00 (Mon–Wed–Fri), 14:00–18:00 (Tue–Thu).
  • ℹ️ Shifts may be adjusted if needed (e.g., for onboarding a newcomer or hosting an event).
  • Additional working hours may be required for events, with extra hourly compensation provided.

WHAT YOU’LL DO:

  • Organizing team lunches once a week.
  • Ensuring the spaces are stocked with treats (candies, cookies).
  • Handling the issuance and receipt of laptops for employees (as directed by the TL Helpdesk).
  • Managing the receipt and dispatch of packages.
  • Welcoming newcomers, conducting office tours, and distributing welcome packs.
  • Managing inventory and auditing assets, equipment, merchandise (including welcome packs) available in the space.
  • Independently organizing and assisting with event planning in Warsaw.
  • Supporting the travel manager with organizational tasks as needed.
  • Handling other administrative tasks as required.
  • Coordinating the operations of Boosta’s coworking spaces: greeting guests, issuing/canceling access cards, monitoring attendance, overseeing the condition of the premises, timely initiation of contract renewal discussions (including space expansion or reduction as needed), filling out attendance metrics, assigning payment tasks, and overseeing payment processes.

WHAT WE EXPECT FROM YOU:

  • Proficiency in working with Jira(will be a plus).
  • Strong command of Google tools, particularly Google Sheets.
  • Excellent organizational skills and the ability to multitask effectively.
  • Outstanding communication skills with a naturally friendly and supportive approach.
  • Attention to detail and the ability to learn quickly.
  • Proactivity and resourcefulness in resolving issues or unexpected situations.
  • A kind, communicative personality with a genuine desire to help others.
  • A creative mindset.
  • A systematic approach to establishing work processes.
